Thread Together Limited, ABN 91 160 701 280 (Thread Together) is committed to respecting your privacy in accordance with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth). Please read the following policy (Privacy Policy) to understand how any Personal Information collected by Thread Together will be handled.

1. What is Personal Information?

(a) Beneficiary (via referral partners), we may collect the following types of Personal Information:

- limited contextual information about your personal circumstances relevant to our support (e.g. domestic violence, homelessness, disaster impact, reintegration).
(b) Volunteer, we may collect the following types of Personal Information:
- contact details (including, your name, phone number and email address);
- emergency contact details; and
- working with children check (as required).
(c) Employee or Contractor, we may collect the following types of Personal Information:
- standard employment information such as employment history, referee details, educational qualifications and similar information; and
- financial information such as your bank account details.
(d) Partner Agency representative, we may collect the following types of Personal Information:
- contact details (including, your name, phone number and email address); and
- affiliated organisation details.
(e) Donor, Funder or Corporate Partner representative, we may collect the following types of Personal Information:
- contact details (including, your name, phone number and email address);
- affiliated organisation details; and
- donation history and transaction records.
3. How do we collect your Personal Information?
We collect information about you either directly or indirectly through the following ways:
(a) in-person service delivery;
(b) correspondence via phone or email;
(c) online forms;
(d) event registration;
(e) referral forms submitted to partner agencies;
(f) volunteer and donation platforms; and
(g) publicly available sources for partnership engagement.
In general, you can visit the Thread Together website without telling us who you are or revealing anything about yourself. Our website service provider may collect aggregated de-identified data about how you access, use, and interact with the website. This is anonymous statistical data, and no attempt will be made by Thread Together to identify users on their web browsing activities. We use this data to only evaluate our website performance and improve the content of the website.
4. Why do we collect, hold, disclose and use your Personal Information?
Thread Together collect, hold, disclose and use your Personal Information so that we can carry out the following functions:
(a) Service Delivery, including to assess and fulfil clothing requests, coordinate referrals with partner agencies, arrange delivery or in-person wardrobe access, and tailor clothing support appropriately (e.g. gender, age information);
(b) Volunteer Management, including to register, schedule and communicate with volunteers, manage safety and compliance requirements, and coordinate events and activities;
(c) Partnership & Stakeholder Management, including to maintain records of agency, donor, corporate and funder contacts, communicate updates, impact reporting, partnership opportunities, and manage collaboration agreements and service arrangements;
(d) Fundraising & Financial Administration, including to, process donations securely, maintain donation records, issue receipts and meet financial reporting obligations;
(e) Governance, Compliance & Risk Management, including to meet legal, employment, tax and regulatory requirements, maintain accurate organisational records, and protect the safety of beneficiaries, staff and volunteers; and
(f) Impact Measurement & Reporting, including to collect de-identified demographic and service data, evaluate service effectiveness, and report to funders, partners and regulators.
5. Who do we disclose your Personal Information to?
We may disclose your Personal Information to:
(a) our employees and volunteers;
(b) third party service or product providers (including, business operation service providers such as Raisely, Shopify, HubSpot and Klaviyo), to facilitate the provision of their services or products to us;
(c) third party administrative and operational service providers, including IT service providers, payment processors and collectors, mailing houses, financial institutions and security service providers; and
(d) regulatory authorities, courts or tribunals (as required by law, or in connection with any legal proceeding).
In some cases, we may need to share your Personal Information with certain third party service providers that are located overseas. It is not practicable for us to specify in advance the location of every service provider, however locations currently include Canada and the United States. Whenever we transfer your Personal Information overseas, we will take appropriate steps to ensure compliance with our obligations under the Privacy Act, such as taking reasonable steps to ensure the overseas recipient does not breach relevant requirements of the Privacy Act.
6. What is our relationship with Raisely?
When you choose to donate money to us through the Thread Together website your donation is processed through the Raisely Pty website (www.raisely.com).
Details you provide on the secure Raisely page are collected by Raisely in accordance with Raisely’s Terms of Use for the provision of their payment services, including risk assessment and authorisation by their bank and their Privacy Policy. In accordance with Raisely’s Privacy Policy, Raisley will provide certain information about you to Thread Together to enable us to accept your donation. This information will include your name, e-mail address, business name and Australian Business Number if a business, telephone number, mailing address, shipping address, the date and amount of the transaction. However, your credit card or bank account number will not be disclosed to Thread Together.
7. Do we use your Personal Information for marketing?
We may utilise remarketing tools, this is a way for us to connect with users, based upon their past interactions with the Thread Together website. Third-party marketing vendors may be hired by Thread Together to perform remarketing services. As a result, third-party vendors, including Google, may show Thread Together ads on sites on the internet. Third-party vendors, including Google, use cookies to serve ads based on a user’s prior visits to Thread Together’s website.

8. How do we store and hold Personal Information?
Thread Together is committed to taking reasonable steps to protect Personal Information that we hold. These steps include, managing access to our systems, to ensure Personal Information cannot be accessed by outside agencies or non-Thread Together staff. We also have internal policies about data retention and how to manage circumstances involving loss or unauthorised access use or disclosure of Personal Information.
Unfortunately, no data transmission over the internet can be guaranteed to be 100 percent secure. As a result, while we strive to protect Personal Information, by managing your data in accordance with our internal policies and processes to prevent loss or unauthorised access, use or disclosure of your Personal Information. Thread Together cannot ensure or warrant the security of any information that you transmit to us, and you do so at your own risk. Any Personal Information collected and held by a Third-Party service provider, is managed in accordance with their Privacy policy.
9. Access to and correction of your Personal Information
You may access or request correction of the Personal Information that we hold about you by contacting us. Our contact details are set out below. We may need to verify your identity before releasing information.
There is no charge for requesting access to your Personal Information, but we may require you to meet our reasonable costs in providing you with access (such as photocopying costs or costs for time spent on collating large amounts of material).
We will respond to your requests to access or correct Personal Information within a reasonable time and will take all reasonable steps to ensure that the Personal Information we hold about you remains accurate and up to date.
